Establishing the Foundations for Successful ERP Transformation

Context

Healthspan, a leading health and wellness brand, launched a transformation programme to replace its on-premise ERP platform with a modern cloud-based SaaS solution. The programme was driven by the approaching end-of-life support for the existing platform, alongside the need to improve scalability, strengthen operational resilience, and support future growth.

Given the scale and business-critical nature of the change, Healthspan wanted experienced external project leadership to provide structure, confidence, and independent oversight throughout the early stages of the programme. The organisation needed a proven Project Manager who could work closely with internal stakeholders and suppliers, while reducing delivery risk and ensuring decisions were aligned to long-term business value.

CBO was initially engaged to lead the strategic alignment phase of the programme, helping Healthspan establish a clear direction, shared understanding, and practical delivery approach before moving into implementation planning.

Approach

A key focus throughout the engagement was reducing delivery risk by bringing in an independent Project Manager with a strong track record of managing large-scale change. CBO provided strong leadership, robust governance, and clear coordination across stakeholders, enabling Healthspan’s internal teams to remain focused on operational priorities while maintaining confidence that the programme was being managed effectively.

In the alignment phase CBO provided experienced project leadership and business analysis support to work closely with Healthspan’s leadership team, business users, and implementation partner. CBO facilitated workshops and stakeholder interviews to establish:

  • The strategic rationale for the programme
  • Clear success measures and desired outcomes
  • Delivery risks and dependencies
  • Scope boundaries and implementation priorities
  • Governance and decision-making structures

The early alignment work was particularly important in building trust across the programme and creating confidence in the proposed direction of travel. By providing experienced, hands-on project leadership from the outset, CBO helped ensure stakeholders remained aligned during a period of significant organisational and technology change.

CBO’s engagement then continued into the planning phase, where a dedicated Project Manager worked alongside Healthspan and the appointed implementation partner to develop the delivery foundations for the implementation stage. This included coordinating suppliers and stakeholders, and establishing practical delivery plans designed to balance pace, operational continuity, and risk management.

Throughout the engagement, CBO’s role extended beyond project administration. The CBO value add came from providing experienced project leadership, maintaining momentum, and creating confidence that the programme was being managed in a controlled way.
